How to manage Contacts and how to make and send an email (ie. Newsletter)
These instructions presume the designer/developer has already imported Contacts made Mailing List(s), made a Contact Form, and created an Email Template with which to send mailings to Lists.
Manage Contacts with EMarketerPreparing the Contacts for Import Existing Contact List Where a list of Contacts already exists, especially if long with hundreds or thousands of Contacts, it’s most efficient to create your initial Contacts List for this project by using an EXPORT from either an online or offline program. Export to either Excel spread sheet, or CSV file. The designer/developer will import the Contacts once available.
IMPORTANT: Importing bulk Contacts is preferred over other methods, not only for speed of efficiency, but at the same time the Contacts can be automatically added to a particular Category and a particular Mailing List.
No Existing Contact List Where there is no existing Contacts, a new list can be created in a number of ways, including offline with local program, online with either a front-end Contact Form, or direct entry into the /TOOLS/ EMarketer back-end interface. The designer/developer will create and provide a Contact Form with the project.
IMPORTANT: Using a Contact Form is preferred over direct entry to the back-end, because the Contacts as entered can be automatically added to a particular Category and a particular Mailing List, preset by the Contact Form.
Entering Contacts with a Contact Form 1.) Provided the designer has created a Contact Form, it’s easy enough to enter contacts one by one. Fill in all appropriate fields for each Contact. If preset, the Contact Form will automatically enter the Category and Subscribe the new Contact to a Mailing List.
2.) Successful data entry can be verified by using the back-end interface.
Entering Contacts with the /TOOLS/ EMarketer Back-end Interface3.) For /TOOLS/ go to www.[YourDomain].com/tools It drops you into the 3.0 admin tools. Login with username/passwd provided you.
4.) Click into EMARKETING MANAGER, then CONTACTS.
Add Contacts 5.) Click the little orange button for +ADD in the upper left corner.
6.) Fill in all appropriate fields for the new Contact.
a. Pull down and select a CATEGORY. Usually this would be MEMBER.
b. Source leave blank “(select)”.
c. If membership EXPIRES for any reason, then enter the DATE of expiration. 7.) SAVE the Contact Modify a Contact 8.) Any Contact can always be modified by using the back-end interface. Login to the /TOOLS/ as above, and go to EMARKETING MANAGER, then CONTACTS.
9.) For that Contact, click either the LAST NAME link, or use the “V” menu, then select EDIT.
10.) Modify all appropriate fields for the Contact.
11.) SAVE the Contact
Send an Email with EMarketer Preparing the Email (ie. Newsletter)0.) Compose your email OFFLINE using MS WORD or other local program, and of course review, proof and spell check before creating an email with this system.
With the email (or newsletter) proofed and spell checked, we send it out…
1.) For /TOOLS/ go to www.[YourDomain].com/tools It drops you into the 3.0 admin tools. Login with username/passwd provided you.
2.) Click into EMARKETING MANAGER, then EMAILS.
Make EMAIL 3.) Either make a NEW EMAIL, or duplicate an EXISTING (to use some of the previous code, etc.).
NEW EMAIL:
a. For a NEW EMAIL, click the ADD EMAIL link in the right window.
b. Click HTML EMAIL FROM TEMPLATE then SELECT TEMPLATE.
c. Click the checkbox for the desired TEMPLATE
d. Click the link for CREATE EMAIL MESSAGE then EDIT EMAIL
e. This opens the email in the Visual Editor, which works, but we recommend you DON’T USE, mostly for just technical reasons. Instead…
f. Use the little pull-down in the upper right (just below the Help window) and change from Instant Editor to EDITING FORM.
g. Drop in your email (newsletter) content and be sure to fill in ALL fields on the BASIC tab. (You can remove the date from the Archive Title and just enter the date in the DATE fields.)
h. Click over to the EMAIL tab.
i. Correct any fields, and drop in a text-only version of the email in the TEXT ALTERNATIVE box.
j. Save the email
k. In the breadcrumbs links in the upper left, click the link for EMAILS. The new Newsletter now appears on the list with the others. DUPLICATE EXSITING EMAIL:
a. Click the “V” menu for (THAT PREVIOUSLY EXISTING EMAIL) then select DUPLICATE.
b. That makes a COPY right there in the list of email.
c. Click the “V” menu for that new copy then select EDIT That brings up the email (newsletter) in the right window.
d. Drop in your content and be sure to fill in ALL fields on the BASIC tab. (You can remove the date from the Archive Title and just enter the date in the DATE fields.)
e. Click over to the EMAIL tab.
f. Correct any fields, and drop in a text-only version of the email in the TEXT ALTERNATIVE box.
g. Save the email
h. The corrected EMAIL (Newsletter) now appears on the list with the others, and ready for sending.
Preview and Test an EMAIL 4.) It’s handy to preview the email by simply clicking the LINK of THAT EMAIL in the list of email.
a. That brings up the email in the Visual Editor (which you do NOT want to use to make edits) which here acts as a browser, and gives a quick preview of the email. Review the email top to bottom and ensure all looks good.
5.) However, the real test is in your local email program once the test message arrives to you.
a. Click the “V” menu for that email then select SEND.
b. Click the link for SEND TEST MESSAGE
c. Enter YOUR email address and click GO.
d. The email is sent to you, which you then retrieve. Again review the email top to bottom and ensure all looks good, and that ALL LINKS WORK AND ARRIVE TO CORRECT LOCATIONS.
DO NOT click the UNSUBSCRIBE link as that takes YOU off the list.
e. If something’s not right, click the link for CHANGE MESSAGE and make your corrections.
f. If all is ok, click the link for TEST MESSAGE OK
Send the EMAIL to the MAILING LIST 6.) That takes you to the list of MAILING LISTS Click the checkbox for the desired EMAIL LIST.
7.) Click the link for FINAL CHECK
8.) Click SEND MAILING NOW a. If this is a RESEND of a same email, then of course click the checkbox for “check here to resend message to those who have already received it.”
EMAIL STATS 9.) At this point you can either click VIEW PROGRESS
10.) Or you can always check STATS later.
a. To check stats, click the “V” menu for the email desired Then select STATISTICS
b. The bar chart with numbers appears in the right window, giving all info as to how many sent, opened, clicked and unsubscribed.
c. A click to open any of the BARS reveals the logs listing of all those in that category.
